Paraplanner
Position Overview
As a Paraplanner, you will play a vital role within our Client Advisory Team by providing critical administrative and operational support. Your focus will be on the efficient execution of the planning process, including accurate data entry, document preparation, compliance support, and client file management. Your attention to detail and commitment to process will ensure the delivery of a high-quality client experience while enabling Advisors to focus on strategic and client-facing activities.
You will contribute to the preparation of client meeting materials, maintain up-to-date client records, assist in implementing financial planning, business planning, and investment recommendations, and ensure all documentation and reporting meet internal and regulatory compliance standards. This role is ideal for someone who enjoys working behind the scenes, thrives in a structured environment, and values precision and consistency in supporting client service excellence.
While you will collaborate closely with the entire Client Advisory and Client Solutions Teams, your primary responsibility will be to maintain the operational backbone that ensures smooth and effective client interactions.
Key Responsibilities:
- Accurately input, maintain, and update client information and financial data across our CRM, planning software, and reporting systems.
- Prepare and assemble client documents, client reports, meeting agendas, and follow-up action items in a timely manner and in accordance with established procedures and deadlines.
- Ensure client records are complete, compliant, and organized according to internal policies and industry regulations.
- Collaborate with compliance and operations teams to ensure all client files, reports, and recommendations adhere to regulatory requirements and internal procedures.
- Assist in generating planning reports, cash flow analyses, portfolio summaries, and scenario modeling as directed by Advisors and Analysts.
- Maintain proficiency in the use of internal technology tools (e.g., CRM, financial planning software, document management systems, portfolio management systems, investment management systems, etc.) to streamline processes, ensure accurate client data and enhance reporting accuracy.
- Skillfully navigate vendor websites to retrieve reports, access essential client information, and ensure accurate data collection for financial planning and investment analysis.
- Assist in the quality control process by reviewing reports and documentation for errors or inconsistencies.
- Take ownership of assigned tasks to support the overall efficiency and effectiveness of the Client Advisory Team.
- As you have the opportunity, build trusting and authentic relationships with clients. Critical to your success is that clients know you understand and care about their specific situation and needs.
- Collaborate and communicate with clients' trusted advisors to gather essential information for effective financial planning.
- Work diligently to learn and understand the products and services we provide and their impact on clients to effectively support financial planning and implementation. Annuities, structured notes, alternative investments, tax modeling, succession planning, lending instruments, etc.
- Our process involves multiple, agenda-driven meetings with each client throughout the year and is centered around conducting key business, financial planning + year-end tax review meetings. You are expected to help prepare the agenda for these meetings, along with all required reporting and documentation for each meeting and follow up on specific post-meeting action items.
- As a member of your team, you are expected to support the overall client experience. As a result, you will also function as a point of contact for clients as required. You should be comfortable in communicating both in writing and verbally with clients.
- From time to time, you will be expected to support the efforts of our new business development team by supporting their requests for information, research, and reporting related to prospects and clients.

Key Areas of Specialization: data integrity, quality control & compliance, project coordination
For all clients and/or client advisors:
- All incoming client inquiries to the gerberteam@gerberclarity.comemail inbox. Responsible for:
- Managing and delegating incoming inquiries to the gerberteam@gerberclarirty.comemail inbox and sending daily documents received email to Advisory Team
- Retirement Plan Servicing. Responsible for:
- All RPAG and Venrollment data integrity
- Handling and managing all plan sponsor inquiries
- Performing all TPA/Vendor/Recordkeeper liaison functions
- Understanding the designs & features of all plans
- Generation and review of all Annual Plan Reviews for completeness, accuracy and proofreading
- Responsible for the consistency and accuracy of all Internal client data:
- Salesforce
- Compile and enter client data for all review meetings and EAs
- Advyzon and MoneyGuide Pro
- Process updating all financial statements in both systems for each client meeting and as new client information comes in for consistent accuracy
- Tax Returns
- Outreach and receipt of documents, save to Salesforce & DMS, upload to Holistiplan software, providing reports as necessary
- Information Gathering
- First line of outreach for gathering client data necessary for all client review meetings and the Entrepreneurial Assessment
- Estate Planning
- Review and make recommendations on all estate planning documents including advanced estate planning modeling within FP Alpha
- Insurance
- Reviews all policies and supporting documents for the purpose of making recommendations to cover:
- Long Term Care Insurance
- Life Insurance
- Disability Insurance
- Personal and Business Insurance Coverages
- Leadership Team Compensation Analysis for Client Reviews
- Review and analysis of compensation plans for all clients utilizing salary.com software and tools
- Entrepreneurial Assessments
- Compile information and enter new client data into systems, working in conjunction with Analysts who will provide an in-depth analysis. This is a big step in the onboarding process and is critical to setting up each client properly for success.
